Which accounts appear, and what happens after
Overview
Not every account you score gets a row on Trailspark Accounts. You choose which Propensity levels are worth sending, and Trailspark keeps every account that reaches one of them up to date from then on.
Which accounts get a row
On the Destination tab of your CRM's page, you choose which Propensity levels get a row. A new connection starts with High only. An account gets a row the first time it reaches one of your chosen levels, for at least one of your ICPs. ICPs left on the default follow those levels; give one its own levels when it should be treated differently.
Once an account is on the list, it stays. It is kept up to date at every level it reaches afterward, including a drop to a level you didn't originally choose to send. The list never removes a row just because a score moved.
Score status, and what "Not scored" means
Score status tells you whether Propensity reflects a live score right now:
- Current: Propensity is a live score.
- Retired: it isn't, right now. You'll see this when an account is between ICPs (it moved, and its new score isn't ready yet), fits none of your ICPs at the moment, or has just been merged into another account.
- Merged: the account was combined into another account. Its row stays, marked this way, and Trailspark never writes to it again.
When Score status isn't Current, Propensity reads "Not scored" instead of a level. Trailspark never shows a level that no live score actually backs, so you'll never see a High or a Low sitting on a row whose score has gone away.
Newly added, Last changed, and What changed
The first time an account gets a row, What changed reads "Newly added", whether the account just crossed into a level you send, or rose from a lower level you don't.
After that:
- Last changed is when something worth noticing last happened on this row: not every routine check, just a real change.
- What changed says what that was: Newly added, Propensity, Buying group, Missing roles, At risk, ICP, or Merged. It is replaced each time, not added to, so it always reflects the most recent change.
When an account moves to a different ICP, What changed always includes ICP, and Propensity too, even when the level itself reads the same as before. A level under a new ICP is a fresh judgment, even when it happens to land on the same word, and Trailspark reports it as one.
Why a row can briefly show an account's previous ICP
Trailspark keeps the ICP shown on a row and the level shown on it paired. It never shows a level scored under one ICP next to the name of a different one. So when an account moves to a new ICP, its row keeps its previous ICP and level until the first score under the new ICP is ready, then both move together in a single update.
If that new score doesn't arrive within about a day, the row moves to the new ICP anyway, showing Not scored until a real score lands. The row is never stuck showing a stale pairing indefinitely, and it is never left showing the wrong ICP either.
Rows are never removed by us
Trailspark never removes a row from the list, whatever an account's score does afterward. If you want a row gone, you remove it yourself in your CRM. A row you remove stays removed; see Connection health for how that is reported and what Restore all does.
Merged rows are the one kind that never comes back, restored or not. Once an account is merged into another, deleting its row (or leaving it in place) is entirely up to you, and Trailspark will never recreate it.
