Connecting monday CRM

Overview

Trailspark Accounts keeps a live board of your scored accounts inside monday, next to the boards you already use. Connecting monday creates that board for you and links each row on it to the matching item on your own Accounts board, so the two stay next to each other.

Go to Settings > Integrations > monday CRM. The page has three tabs, in the order data flows:

  • Connection: a Setup checklist and connection health.
  • Field Mapping: what Trailspark reads from monday. Your Accounts board and its website column, plus any columns you map as account fields.
  • Destination: what Trailspark sends to monday. The on switch, which accounts and people get a row, and the link back.

Before you connect

  • A dedicated integration user, if you have one. Connecting monday grants Trailspark the same visibility into your boards that the person who connects has. Using a shared integration login rather than one teammate's own account keeps the connection working when that person changes roles or leaves.
  • Room for a few columns. monday limits how many columns a board can have on some plans. Trailspark checks when it builds its boards and says plainly on the Connection tab if your plan has no room. Nothing you already have is touched, and nothing it has started is removed. Free up a column or upgrade, then click Repair to pick up where setup left off.

Info

If your access in Trailspark is view only, the page says so and stops there. An owner, admin, or editor in your workspace needs to set this up.

Step 1: Connect

Click Connect monday. You are sent to monday to sign in and approve access, then brought back to the monday CRM page in Trailspark. The Setup checklist on the Connection tab now shows step 1 done and offers Go to Field Mapping for step 2.

Step 2: Choose your Accounts board

On the Field Mapping tab, the Your monday boards card asks where your companies live, "so each account we add can link straight to your own record."

  • If your board still has monday's own company-website column (the one every CRM-template Accounts board starts with), Trailspark finds it and fills in both Your Accounts board and The column holding the company website for you, with the note "We recognized these from your monday setup and filled them in. Check they are right, then save."
  • Otherwise, pick your Accounts board under Your Accounts board, then pick the column that holds the company website under The column holding the company website.

Trailspark matches an account to your own record on the company website, which is why it needs that one column. The board list shows every board the person who connected monday can open; Trailspark keeps only the board and column you choose here. If monday cannot say which workspace your Accounts board is in, one extra picker appears, Workspace for the Trailspark boards, so you can say where the Trailspark boards should go.

Click Save. Once your board choice is saved, a Your account fields card appears below the pickers; that is optional and covered in Read your account fields from monday.

Tip

If you keep accounts on more than one board, pick the one you want linked. A company that also appears on a second board (for example, a renewals board) won't be linked from that second board, only the one you chose here.

Step 3: Turn on sending

On the Destination tab, turn on Send to monday CRM. This creates the Trailspark Accounts board in the same monday workspace as your Accounts board and starts loading accounts onto it. The page confirms "Sending to monday CRM is on. The first accounts arrive within the hour." Turning the switch on or off also saves your settings.

While sending is off, the tab says what the switch will send: Trailspark starts with High-fit accounts, and you can then choose which accounts and people it sends. The rest of the tab:

  • Which levels get a row. Accounts at the levels you choose get a row. Once an account has a row it stays and is kept up to date, whatever its level does next. ICPs left on the default follow those levels; give one its own levels when it should be treated differently.
  • Add missing companies and people to monday CRM. Off by default. When a company or person is not in monday yet, Trailspark adds it, so every row links to a record of your own. Leave this off to only link to records you already have.
  • Trailspark Leads. A second board with one row per person, off by default. See Your Trailspark Leads board on monday.
  • Show a link back from your own board. Adds one column to your Accounts board showing the matching row in Trailspark Accounts. Off by default; you can turn it on at any time, and switching it on later links up every row you already have.

When all three steps are done, the Setup card reads "All set. We keep Trailspark Accounts up to date in monday CRM."

Both boards are main boards in that workspace, with no folder, so anyone who already works in monday finds them beside your Accounts, Contacts, and Deals boards.

If something needs fixing

The Connection tab tells you plainly what is wrong and what to do. There is no error code to decode. Common cases:

What you seeWhat it means
Finish setupA choice is still open, usually your Accounts board. The sentence names it. Finish the settings and save.
Needs reconnectingTrailspark can no longer sign in to monday. Click Connect monday again to approve access afresh. Your Trailspark Accounts board is kept, with its rows, views, and automations.
Needs repairSomething about the board setup needs your attention, often a monday plan limit. The message names the problem plainly; once it is resolved, click Repair.
