Read your account fields from monday

Overview

Your Accounts board in monday already holds details about each company: a segment, a region, a headcount, maybe a column of your own such as a deployment model. Mapping those columns lets Trailspark read them, so the values show up in scoring, in your ICPs' rules, and on each account's page.

For example, map your board's Segment column to Trailspark's Market segment field, and add your own Deployment Model column as a custom field with Use in scoring checked. From then on, each matched account carries its segment, your ICPs can filter on Deployment Model, and the scoring model sees both when it grades the account.

Trailspark reads only the columns you map here. It never writes to your Accounts board.

Map your columns

  1. Go to Settings > Integrations > monday CRM, then the Field Mapping tab. Your Accounts board must be chosen and saved first; until it is, the tab says "Save your board choice first."
  2. In the Your account fields card, each of Trailspark's built-in fields has a row: Industry, Employee count, Region, and Market segment. Under Column, choose the column of your Accounts board that holds that value, or leave it Not mapped. Only columns of a kind Trailspark can read are offered; for Employee count, number columns are listed first.
  3. Label fills in with the column's title. Change it if you like. The label is what you will see in the ICP builder.
  4. To read a column that isn't one of the four built-ins, click Add a custom field. Choose the Column, check the Field name (filled in from the column's title; lowercase letters, digits, and underscores, starting with a letter), set the Label, and leave Use in scoring checked if the scoring model should see the value. It is on for a new custom field.
  5. Click Save field mapping. Trailspark checks every column against your board before anything is replaced, then confirms "Reading your Accounts board. Values appear within the hour."

Company name and website are not offered here: the website column is already chosen in the Your monday boards card above, and the name comes from the account itself.

Info

"Values appear within the hour of saving and refresh once a day. Removing a mapping removes its values on the next update." The same column may feed two fields. Two custom fields cannot share a name.

If a save is refused, the message says why: a column is no longer on your Accounts board, a column is a kind Trailspark cannot read, or your Accounts board changed since the page loaded ("Your Accounts board changed. Reload to map its columns."). Nothing is changed on a refused save.

Who can do what

  • Owners and admins map columns and click Save field mapping.
  • Editors see the table but cannot change it. In place of the button they see "An admin can change the field mapping."
  • View-only members see neither the table nor your board names, only a line saying that an owner, admin, or editor can set this up.

After you save

Trailspark reads your Accounts board within the hour, then once a day. For every account matched to a row on the board, the mapped columns become that account's values:

  • Built-in fields (Industry, Employee count, Region, Market segment) are the account's own fields, used in scoring and available in your ICPs' Eligibility and Scoring filters as usual. When your CRM of record (HubSpot, Salesforce, or Airtable) already sets the same field for an account, that value stays; otherwise the monday value is used, and enrichment fills only what is still empty.
  • Custom fields appear in the ICP builder's Scoring filters, in the Account group, under the label you gave them and tagged monday CRM. See Eligibility and Qualification. With Use in scoring checked, the scoring model sees the value when it grades the account.

On each account's page, the Account data card on the Account Details tab shows the value scoring uses for each field, with a monday CRM badge on values read from your board and Not used in scoring under a custom field that isn't opted in. See Account detail.

The Connection tab: Account fields and Read now

Once you have mapped a column, the Connection tab gains an Account fields block under connection health:

  • Account fields: last read 2 hours ago (or "not read yet", or "read requested, within the hour").
  • 212 accounts with values: how many accounts currently hold a value read from your board.
  • One plain sentence per column that could not be read, naming the field by its label: "The column mapped to Industry is no longer on your Accounts board.", "The column mapped to Region is no longer a kind of column we can read.", "We cannot find your Accounts board in monday.", or "The column mapped to Market segment could not be read on the last update." Fix the column on the Field Mapping tab, or in monday.
  • Read now asks for a fresh read instead of waiting for the daily one: "We will read your Accounts board within the hour." The button reads Read requested until that read happens. Owners, admins, and editors can use it; view-only members do not see it.

Removing a mapping

Set a built-in row back to Not mapped, or click Remove on a custom row, then Save field mapping. The field's values are removed from your accounts on the next update. A custom field with Use in scoring checked is the exception: its values are removed at once, so the scoring model never keeps using a field you took away. Removing every row saves an empty mapping; the last values clear on the next update.

Changing your Accounts board

The mapped columns belong to the board you chose, so choosing a different Accounts board in the Your monday boards card clears the field mapping. An admin sees a confirmation first, Change your Accounts board: "Changing the Accounts board clears its field mapping (3 columns). Values already read are removed within the hour." After Save, the page adds "Field mapping cleared (3 columns). Map the new board's columns on the Field Mapping tab." An editor cannot change the board while fields are mapped; the picker says "An admin can change the Accounts board while account fields are mapped."

monday usage and the 80% warning

Every read and every update costs calls to monday, and monday allows each account a certain number per day, by plan. The Connection tab shows where you stand, whether or not you have mapped any fields:

monday calls Trailspark made today: 412 of about 1,000 on your Standard plan

The limit is monday's, per plan, and the figure is approximate. The count resets at midnight UTC. If Trailspark doesn't know your plan, the line shows the count alone.

From 80% of the day's calls:

  • The line turns amber, and a banner appears at the top of the monday CRM page on every tab: "Trailspark has used 84% of today's monday calls for this workspace. Reads and updates pause when the limit is reached and resume after midnight UTC."
  • Your workspace's admins receive one email from Trailspark the first time the day's calls cross 80%, at most once per day.

At the limit, reads of your Accounts board and updates to the Trailspark Accounts and Trailspark Leads boards pause. Nothing is lost; they resume after midnight UTC. Connection health reads Waiting meanwhile.
